IMPORTANT – Interim Process for PHI Report Requests in iPort and iPort Access

At CCO, we are committed to effectively safeguarding the storage and provision of personal health information (PHI) to our external partners. In order to ensure that we continue to have the right technology and processes in place, CCO is currently undertaking a comprehensive review of our iPort and iPort Access business intelligence tools.

As of November 30, 2017, PHI level reports will be temporarily unavailable in iPort and iPort Access until the review period and any resulting changes are complete. Users will be notified via this website and their Local Registration Authority once PHI reports are available in iPort and iPort Access.

Requesting PHI Level Reports in iPort or iPort Access

In order to support continued access to the highest priority PHI level reports previously available to Authorized Registered Users of iPort and iPort Access, CCO has established the following interim process:

To Request PHI Reports in iPort or iPort Access

  1. To obtain a PHI data request form:*
Authorized Registered iPort or iPort Access Users should email their request to PHIreports@cancercare.on.ca and specify in the email whether they have a request for PHI level reports in iPort (used for cancer reporting) or iPort Access (used for patient data extracts from the Wait Time Information System).
  2. CCO will email the Authorized Registered iPort or iPort Access User the interim iPort PHI data request form or the interim iPort Access PHI data request form.
  3. The Authorized Registered iPort or iPort Access User will complete the form, obtain approval from their Local Registration Authority, and the Local Registration Authority will submit the form to PHIreports@cancercare.on.ca
  4. Following the submission of the interim iPort PHI data request form or the interim iPort Access PHI data request form, the request will be prioritized and manually processed by CCO. If additional information is required to complete the request, CCO will email the Local Registration Authority to obtain the necessary information.

NOTE – During the review period, facilities are asked to limit the number of iPort and iPort Access Authorized Registered Users to those who are essential for meeting operational requirements. Reports that support highest priority activities such as: clinical decision making or patient care, funding, performance management, and data quality and compliance will be prioritized. Authorized Registered Users will have the ability to request high priority reports on an ad-hoc or monthly basis depending on the report reporting schedule.

*Steps 1 and 2 are not required if the Authorized Registered User already has a copy of the interim iPort PHI data request form (used for cancer reporting) or the interim iPort Access PHI data request form (used for patient data extracts from the Wait Time Information System).

Non-PHI Aggregate Level Reports in iPort or iPort Access

The process for obtaining non-PHI aggregate level reports in iPort and iPort Access will remain unchanged. However, Users will experience some changes in functionality during the review period. These changes include:

  • Removal of search bar functionality
  • Removal of links to ‘Create Reports’
  • Removal of existing User Saved Reports
  • Disabling ability to modify existing Reports by adding attributes

Users will continue to have the ability to save copies of CCO deployed reports into personal folders, including any saved parameter values.
